1. Introduction

These Conditions apply to all guests and visitors of the Villa Costa Rose(“The Hotel”). Terms and conditions for 4 on Buitenlant premier suites differ where indicated. The guest making the reservation and paying the deposit hereby agrees on behalf of all parties to the booking and any guests of parties being entertained during their stay. Payment of deposit constitutes express agreement of the terms and conditions.


2. Bookings

Guests are required to provide a deposit as stipulated along with credit card imprint/details on all bookings. Balance of payment for accommodation is required on departure. To protect you and in order to comply with money laundering and other regulations, guests may need to provide a passport or ID card. The hotel reserves the right to regard any booking as a “No Show” where the parties do not check in by 5.00pm, unless prior arrangement has been made with the hotel for a late check in. For bookings at 4 on Buitenkant, check in time is strictly by arrangement. 50% of the reservation total is required when booking. 7 days prior to arrival the balance of the stay will be charged plus a refundable security deposit of R995. Where guests have not checked in at the agreed time, the booking may be treated as a no show.


3. Check-in and Check-out

Villa Costa Rose Guests may check-in at any time from 2.00pm to 5.00pm on the day of arrival. Failure to check in by 5.00pm without prior arrangement with the hotel in writing may result in the booking being treated as a "No Show" 4 on Buitenkant guests are required to check in at the agreed time. Where guests do not check in at the agreed time and no alternate arrangements have been made, the booking may be treated as a no show or an additional charge of R150 will apply. Guests are required to check out by 11:00am on the day of departure. The hotel reserves the right to charge for an extra night where guests have not checked out by 11:00am, unless prior arrangement has been made with the hotel. Villa Costa Rose Guests must pay all outstanding charges on departure at check out. 4 on Buitenkant guests outstanding charges will be deducted from the security deposit. Any items not settled on departure will be charged to the credit card details submitted when making the booking or the credit card used to make the booking.


4. Disturbance

Guests are requested to keep television and general noise levels to a minimum after 10.00pm The Hotel reserves the right to require a guest to check out and leave the premises if he/she continues to cause undue disturbance, annoys other guests or is behaving in an unacceptable manner. 4 on Buitenkant: No parties or gatherings are allowed in the apartment or common areas. At all times, a maximum of 3 adults are allowed in the apartment. The “Hotel” reserves the right to ask guests to leave where they are in breach of this and where annoyance or disturbance has been caused the full reservation fee is not refundable and additional charges will apply.


5. Cancellation

Villa Costa Rose Guests: Cancellation more than 28 days prior to arrival is fully refunded less R295 admin charge. Cancellation within 28 days prior to arrival, 50 % of deposit is forfeited. Cancellation within 14 days prior to arrival, 100% of deposit is forfeited. In the case of no show, early departures or cancellations within 24 hours of arrival, the deposit is forfeited and the balance of the total booking value is chargeable. Where guests have not checked in by 5.00pm on the day of arrival, the booking may be treated as a “No Show” if prior arrangement has not been made with the hotel and confirmed in writing and 100% of the total booking value is charged. If there is a balance between the total booking value and the deposit paid when booking, this balance will be charged to the credit card details submitted at time of booking. Early departures do not receive refunds. 4 on Buitenkant Guests: Cancellation more than 28 days prior to arrival is fully refunded less R295 admin charge. Cancellation within 28 days prior to arrival, 50 % of booking value is forfeited. Cancellation within 7 days prior to arrival, 100% of reservation is forfeited. In the case of no show, early departures or cancellations within 24 hours of arrival, the full reservation value is forfeited. Where guests have not checked in at the agreed time on the day of arrival, the booking may be treated as a “No Show” if prior arrangement has not been made with the hotel and confirmed in writing and 100% of the total booking value is charged. Where guests have multiple stays within the same booking, the first check in date is used in determining any cancelation or charges policy.


6. Valuables

Guests with valuables store these in the safe provided in the room. The hotel does not accept any liability for loss of goods howsoever. Guests are requested to ensure that their rooms are locked at ALL times and that windows are closed when rooms are not in use.


7. Charges and Guest Liabilities

Towels, Soap and Shampoo dispensers: Removal or excessive soiling of hand towels, bath towels, bath sheets or removal of dispensers are charged at R395 each. Bedding: Removal or excessive soiling of any bedding item is charged at R595 each. Hangers: Removal of these is charged at R95 each. Welcome Packs: Removal or damage to these is charged at R595 each. Smoking: All rooms are non smoking. In cases where rooms require extra cleaning due to smoking, this will be charged as applicable at a rate determined by the hotel. Damage: Damage to rooms or general areas of the hotel will be charged as applicable and as determined by the hotel. Keys: Lost keys will be charged at R395 a set. Remote Controls: Loss or damage to TV remote controls or air-conditioning remote controls will be charged at R495 each. Fixtures and Fittings: Removal or damage to fixtures and fittings in rooms or general areas will be charged as applicable and as determined by the hotel. Any charge incurred will be charged (but not exclusively to) to the credit card details submitted when booking or presented at check in. 4 on Buitenkant: A maximum of 3 adults is permitted to stay or sleep at any time or 2 adults and 2 children under the age of 10 or 2 adults and one child over the age of 10. Where guests are in breach of this, an extra R300 will be charged per person. For check in times after 18:00 and before 10:00, a charge of R150 will apply. Any items missing from the inventory check out or damaged items will be deducted from the holding deposit at a replacement value determined by the hotel group. Where the security deposit is not sufficient to cover costs, the balance will be charged to the credit card details used for the reservation.


8. Loss and Liability

Guests must report any loss of or damage to their property immediately on discovery to the Hotel's management, and shall make themselves available to assist with any reports made by the Hotel to the police. The Hotel is not liable for any loss or damage to personal property or injury or death to persons where ever on the property or how so ever caused. The Hotel shall not be liable to a guest for any loss or damage to property caused by the misconduct or negligence of another guest or an Act of God, or where the guest remains in exclusive charge of the property concerned. The Hotel shall not be liable for any failure or delay in performing any of its obligations under this Agreement if the failure or delay was due to any cause beyond its reasonable control, including (without limitation) civil or political action or disturbance, riot, natural disaster, fire, epidemic, bad weather, terrorist activity (threatened or actual), military activity, governmental or regulatory action, industrial dispute, act of God, failure of power or machinery, failure of or interruption in externally provided services and utilities. Guests will be liable for any loss, damage or personal injury they may cause at the Hotel.
